Keysoft Chief of Staff

A scheduled assistant for executive search firms. It reviews your recent activity each morning, prepares outreach for you to review, and keeps your recruiting system up to date. It never sends anything on your behalf.

What the application does

Keysoft Chief of Staff runs on a schedule you set. On each run it reads recent activity from your recruiting system and your sent email, identifies relationships worth a touch and follow-ups you committed to, and prepares the work for you.

  • Prepares a daily digest. An email summarising which relationships have gone quiet, which target accounts have news worth acting on, and what the application has prepared for you.
  • Writes outreach as drafts. Suggested messages are saved to your Gmail drafts folder in your own writing style. You open, edit, and send them yourself, or delete them.
  • Captures follow-up commitments. It reads your sent mail for obligations you made in writing and turns them into tasks in your recruiting system.
  • Logs activity back to your recruiting system. Your applicant tracking system stays the system of record. The application writes to it and never replaces it.
  • Proposes meeting times. It reads your calendar availability and drafts a reply with times that work. You send it.

The application cannot send email

Keysoft Chief of Staff has no send function. The application reads your mail and creates drafts, and its code contains no path that sends a message. Sending is not a setting you can turn on. Google's narrowest drafting permission is described as "manage drafts and send emails" because Google offers no drafts-only permission; the application uses the drafting half and never the sending half. No message leaves your account without you pressing send.

Permissions the application requests

gmail.readonly Read your sent mail to find relationships going cold and follow-up commitments you made. Message content is read at run time and is not copied into our systems.
gmail.compose Create draft messages in your account for you to review. Google labels this permission "manage drafts and send emails"; the application never calls the send capability.
calendar.events Check your availability and prepare meeting times. Events involving anyone outside your firm are never created without your explicit approval.

You can withdraw these permissions at any time from your Google Account permissions page, which stops all access immediately.

How your data is handled

Keysoft Chief of Staff's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

We do not sell your data, we do not use it to train machine learning models, and we do not share it with advertisers. The privacy policy explains exactly what is accessed, what is stored, for how long, and how to delete it. Our terms of service govern use of the application.

Executive search and recruiting firms that already run on an applicant tracking system and want the administrative layer around it handled, without giving up control of what goes out under their name.
